A housing society under the MCS framework has duties that repeat every year regardless of size: meetings of the general body, regular managing committee meetings, an annual audit, and returns filed with the Registrar. Committees rarely fail these deliberately — they fail them because no one owns the calendar.

Meetings

The annual general body meeting must be held within the prescribed period after financial year end, with proper notice to all members. Managing committee meetings should happen at regular intervals through the year, each with an agenda and recorded minutes. Special general body meetings have their own notice requirements. Minutes are your society’s legal memory — write them carefully and confirm them at the next meeting.

Audit and returns

Accounts must be finalised and audited by an authorised auditor, with the audit report placed before the general body. Prescribed annual returns then go to the Registrar. Late or missing filings surface at the worst moments — during disputes, redevelopment or loan applications.

Registers

Societies must maintain statutory registers — members, shares, property, and more — kept current as flats change hands. Incomplete registers complicate everything from transfer approvals to voter lists at elections.
